Interview Manager Panel
Use the Interview Manager panel on the Job Details page to manage the time slots for your job, or print a list of upcoming interviews. Click on the New time slot button to launch the calendar view and create a new time slot, or click on View details to manage existing time slots.
If you are signed in to Microsoft via the Interview Manager Panel, a Participants and rooms drop down will appear, allowing you to select from a list of Microsoft users and rooms in your organisation to view their calendar availability. When you create the time slot, a Microsoft event will also be created and added to participants' calendars. You can also optionally include a Microsoft Teams meeting link in the event.
The panel will also display warnings if you have already invited candidates to interviews, but there are now not enough spaces for all the invited people to book into. This typically occurs because you have either deleted some time slots or because since the invites were sent the day/time of some time slots has either passed or is not far enough out to meet the minimum notice period defined by your organisation for the interview type.
Instead of having to return to this panel to manage your time slots, SnapHire will also provide you with a quick link to manage time slots from workflow actions you are trying to take. For example, if you are trying to email an invite to a candidate but there are not enough free time slots currently set up, you will be presented with a New time slot link to quickly launch the calendar.
Managing time slots
In the calendar view you will see all time slots for all interview types relating to your job (e.g. 1st interview and 2nd interview if both use Interview Manager). The time slots are colour coded, with a legend at the bottom of the calendar. Click into a time slot to see more detailed information including participants, a description and location.
To edit a time slot, click on the time slot in the calendar view, and then click on the Edit button at the bottom. Make the required settings and when complete, click Update. Editing an existing time slot is only permitted if the time slot does not have a candidate booking.
To delete a time slot click on the time slot in the calendar view, and then click on the Edit button at the bottom. Click on the red Delete button. Please note that Interview Manager will not allow you to delete a time slot if there are candidates booked into it - cancel any interviews for that time slot before proceeding.
