Overview

The Unlisted Link feature allows you to provide an application link to specific people (inside or outside of your organisation) to any open job - whether or not the job is currently visible on your careers site.  This article includes:


Reasons to use unlisted links

Some reasons that you might use this feature are:

  • The application close date has passed and the job is no longer visible on the careers website.  You receive a call from a candidate who you’d like to consider so you send them an unlisted link so they can complete the online registration/application process completely, but without re-advertising the job and opening it up to other people.
  • You have a sensitive job that you do not want to advertise on your careers site.  You have identified a handful of candidates you would like to make direct contact with, after talking with each candidate you send them an unlisted link to the job so they may submit an application.
  • You have a restructuring situation in your business and you need to have existing team members apply to the new positions in the team, but the job is not open to all internal employees.  You send an unlisted link to the existing team email address so those who are interested may apply.


Generating unlisted links

To generate an unlisted link to your job:

  1. Check that the status of your job is Open - it does not matter whether or not the job is currently visible on your careers site.  
    Please note that you will still be able to generate a link to a job that is not open (e.g. in Draft status) but the link will not work until the job has been set to Open.
  2. In the job details screen, select the 'Allow access to this job via unlisted link' option within the Unlisted link panel:

  4. Public job seekers:  This will be enabled for public job seekers (external) by default.  De-select if applicable (depending on who you are planning on sending the link to).
  5. Employees:  This will be enabled for employees (internal) by default.  De-select if applicable (depending on who you are planning on sending the link to).
  6. Sourcing:  
    • This will default to "No source specified".  
    • Here you can specify what the source of application is recorded as for any candidates who follow this link and submit an application to the job.  
    • Select the applicable source tracking from your organisation's list of advertising media, or use the generic 'Unlisted link' source if it is available (if it is not available, your organisation may like to consider adding this option via the 'self-service 'Advertising' functionality).
    • As you make sourcing selections, the link in the yellow box updates to reflect your selection.  Once you have selected the source you would like to use, the link is ready to copy.  
    • The media code for your selection is appended to the link (e.g. &source=SK).
  7. Right-click on the link in the yellow box, and copy.
  8. You can now share this link with others, typically by emailing it to the intended recipient.  Depending on the purpose of your link you may do this via SnapHire (e.g. to a candidate who is already registered with your site), or via your email program (e.g. to a person who wants to make a late application who is not yet registered with your site, or to one of your internal company team email address such as 'IT team').
  9. If you want to generate another link to the same job but with a different sourcing code, you can simply repeat the steps above and choose an alternative source (do not use the Regenerate button!).  The original link you copied is still correct and will continue to work for any candidates you have shared it with.


TIPS:

  • If you have previously created an unlisted link, when you return to the job details page the sourcing you last setup (the media selection and the unique link) will not be displayed, however, any links you have previously created and copied are still correct and will continue to work for any candidates you have shared them with.
  • Depending on the purpose of your link, you may find it helpful to add a note to your job so that you have a history of what you have done (e.g. emailed an unlisted link to IT team with X source to allow for applications for new positions.).


'Regenerate' button

Within the Unlisted Link panel there is a 'Regenerate' button which allows you to disable all of the previous links you have generated for the job.  Please note that when you use the 'Regenerate' button:

  • All of the previous links for any source you selected will be disabled - that is, not just the link for the source you are currently viewing.
  • The links will be instantly disabled - there is no confirmation.


Disabling unlisted links

Any unlisted job links you have shared with others will continue to work while the job is open (whether the job is visible on your careers site or not).  When the job status changes from open, the link will automatically be disabled so no further action is required.  If you wish to disable all of the unlisted links you have shared for the job to date, but do not want to change the status of the job, use the 'Regenerate' button (refer above).


Please note that deselecting the 'Allow access to this job via unlisted link' option does not disable links you have already shared:
